Brief Job Description:

The IGDF Office Support Coordinator helps people with sight loss live the life they choose by contributing to the delivery of activities on behalf of the International Guide Dog Federation and its members, by delivering a professional and responsive office management and administrative support service to the IGDF and its members worldwide.

This role will play an important part in delivering and developing digital communications with guide dog organisations around the world, and in supporting IGDF Committees and working groups. This role is an excellent opportunity for someone interested in developing a career in Communications and Governance.

Job Description:

 

Key Responsibilities

•            Dealing with routine correspondence and enquiries ensuring all communications are handled promptly and in line with agreed Standard Operating Procedures.

•            Maintaining paper and electronic files in line with agreed processes and General Data Protection Regulations.

•            Helping deliver key annual projects and processes under the supervision of the IGDF Company Secretary, including:

o            Supporting the Accreditation Committee and Assessors to schedule accreditation visits and check and collate associated paperwork.

o            Sending out Annual Report forms to all members and filing and collating responses.

o            Sending out annual membership invoices and acknowledging payments.

o            Assisting in the planning of in-house, virtual, or off-site events such as; webinars, meetings, conferences and the Annual General Meeting.

o            Any other administrative or support duties as needed to enable the smooth running of the office and the IGDF Board and Committees.

 

Person Specification

Education/Qualifications

Essential

•            Educated to post-secondary level with a minimum of 3 GCSE passes including Maths & English at grade C (or equivalent)

•            Excellent verbal, written, and reading skills required for communications.

•            Good level of numeracy required for financial data processing.

Job-Related Experience

Essential

•            Experience of using social media, website management and use of video conferencing software

•            Experience in a customer service role, and/or office/administration/PA role.

•            Experience of maintaining hard copy and/or electronic filing systems

 

Desirable

•            Experience of committee support and/or writing minutes.

•            Experience in a membership organisation or charity.

•            Lived experience of vision impairment (either self or direct family member).

•            Experience of dealing with complex queries and/or complaints.

•            Completing basic H&S Risk Assessments.

•            Experience in organising or assisting with events.

Knowledge

Essential

•            Computer literate with advanced skills in the Microsoft Office suite (Outlook, Excel, Word, PowerPoint).

•            Basic understanding of Health and Safety legislation.

Desirable

•            Knowledge of GDPR regulations.

•            Use of video conferencing software such as Zoom, Skype, or Microsoft Teams.
